1. The Why: The Tragedy of Over-Complicated Project Tools
Most project management software suffers from feature bloat. They force teams through mandatory fields, sprint ceremonies, and rigid permission ladders until updating the software takes more time than completing the work.
Common collaboration pitfalls:
- The "Black Hole" Assignment: A manager assigns a task, but the assignee has no idea where it fits into the broader strategic priority (Is it a quick Q1 emergency or a long-term Q2 milestone?).
- Fragmented Communication: Team discussions happen in Slack, task notes live in Jira, client specs sit in Google Docs, and meeting minutes exist in SharePoint. By the time someone starts the task, the latest context is lost.
- Invasive Surveillance & Activity Feeds: Constant feeds showing every edit and ticket movement create "productivity theater"—where looking busy replaces getting real work done.
- Lack of Individual Clarity: Team members feel overwhelmed by the master backlog and struggle to isolate what they personally need to deliver today.
DoneIsGood simplifies project execution with Project Home: a single, calm project space where everything your team needs sits in one clean view, paired with an individualized My Assigned Tasks command center.
2. Project Home: Everything Relevant at One View
Inspired by the calm, all-in-one project philosophy pioneered by Basecamp, DoneIsGood brings all parts of a project together onto a single page:

- Scoped Collections: Keep work organized using the right layout for each workstream—whether that is an Eisenhower Matrix for daily priorities, a Kanban Board for continuous delivery, a MoSCoW Matrix for milestone requirements, or a Checklist for linear launch procedures.
- Project Schedule & Timeline: An optional, lightweight timeline showing project start and end dates, distinct stages (such as Planning, Implementation, or Review), and key milestones with a clear "Today" marker for quick orientation.
- Central Documents: Pin project charters, client scopes, and technical specifications directly to the project so onboarding a new team member takes minutes, not days.
- Key Stakeholders & Contacts: Pin clients, vendors, and leads with simple permission controls (
private, view, orcollaborate). - Team Bulletins: Post high-signal announcements, kickoff summaries, and status updates where the whole team can see them, without cluttering task cards or message threads.
- Integrated Team Chat: Jump directly into project discussions with
/gc(Group Chat with the project team) or send 1:1 direct messages with/dm [name], keeping conversations attached to your actual workspace.
Trust-Based Collaboration Without Surveillance
Many project tools display an endless, minute-by-minute activity ticker showing every time someone checks a box, moves a card, or edits a description. While sold as "transparency," in practice these logs create anxiety and promote performative busywork.
DoneIsGood deliberately leaves micro-surveillance out of Project Home. We provide clean milestones, shared deliverables, and a complete system audit trail behind the scenes for compliance—while giving your team the trust and quiet headspace needed to focus on genuine progress.
3. The DoneIsGood Blueprint: Architecture of Shared Projects
• Task Delegation: Direct assignment with deadlines & quadrants.
• In-App Messaging: Real-time threaded discussions per board and task.
• Linked Specs: Rich Markdown project documents attached to the matrix.
4. Step-by-Step How-To in DoneIsGood
Step 1: Open or Create a Project Home Space
- Type
/projectin the Universal Input bar (or click Projects in the sidebar) to open your Project Hub. - Click Create Project (or select an existing project). You can also jump straight to any project by typing
/project [Name](e.g./project Acme). - Inside Project Home, you can add and organize your project's scoped collections, milestones, reference documents, and key contacts.
Matrix Ownership Quotas: Free tier users can own up to 3 matrices, while Pro users can own up to 20 matrices. If another user shares a matrix or project with you as a collaborator or viewer, it does not count against your personal ownership quota!
Step 2: Invite Team Members & Collaborators
- In Project Home, click Project Members (or click Share Matrix on any individual collection).
- Enter the collaborator’s email address.
- Select their permission level:
- Viewer: Read-only access to boards, milestones, and documents.
- Editor / Collaborator: Can add, update, check off steps, and move cards across quadrants or columns.
- Admin / Owner: Full management over sharing, members, and board settings (Project and Enterprise users).
- Click Send Invitation. If they are already a DoneIsGood user, they immediately get access; if not, an invitation email with a signup link is dispatched.
- Real-Time Collaborative Sync: All board edits, bulletin updates, and task movements sync instantly across collaborators without manual refresh.
Step 3: Add an Optional Project Schedule (Timeline, Stages & Milestones)
DoneIsGood includes a lightweight schedule view designed for quick orientation rather than competing with complex project management tools like Asana or Microsoft Project. It gives your team and stakeholders a simple high-level view of where the project is heading without the burden of complicated dependency links or heavy maintenance.
How to set up a schedule:
- On your Project Home page, click the subtle Add Schedule button in the header. (A schedule belongs directly to a project and shares its name.)
- Choose a Start Date and End Date, or pick one of the built-in presets:
- Waterfall Phases: Standard project sequence (Planning, Design, Implementation, Review, Launch).
- Agile Sprints: Multiple two-week sprint cycles for continuous delivery.
- Simple Project / Product Launch: Streamlined stages tailored for quick initiatives.
- Add custom, user-named Milestones (e.g. "Spec Approval", "Beta Release") and link them to their corresponding project stages.
Reviewing progress on the timeline:
- Project Schedule Card: Once attached, a schedule card appears on the project homepage showing the current stage, upcoming milestones, and overall timeline.
- Timeline Detail View: Click Timeline on the card to open the interactive schedule view. This modal shows the full project span, stage blocks and milestone diamonds.
- Filter Tasks by Date Window: Click on any period between milestones on the timeline bar. The display immediately lists all scheduled tasks from the project's managed collections for that window, including any overdue tasks if that period covers today. You can check off tasks or jump directly to their board.
Admin-Only Schedule Permissions: Only a Project Admin or the Project Owner can create, edit, or delete the project schedule. Regular project members have read-only access to browse the timeline and inspect scheduled tasks.
Step 4: Assign Tasks and Clarify Priorities
When creating or editing a task:
- Open the task modal and select the Assignee dropdown (or use the Task Menu ⋮).
- Pick the team member responsible.
- Place the task into the appropriate quadrant, column, or checklist step so the assignee immediately understands its strategic weight.
- Add notes or task steps as needed depending on the Assignee's experience level and familiarity with the task content.
- Link to a DoneIsGood Document if available, for the task's full context and specifications.
- Create Tags to help with classification.
- Set a Due Date to ensure the task is completed on time.
- Add Time to set a clear time budget expectation.
Assignment Visual Cues & Rules:
- Visual Indicators: When a task is assigned to you, the task card displays a distinctive green bar on the right and a green indicator dot.
- Single-Assignee Principle: You can only assign a task to one person at a time—clarity of ownership ensures someone is unambiguously responsible for completion.
- Unified Filtering: Use the Views menu and select My Assigned Tasks (or type
/go My Tasks) to filter down to every item assigned to you across all matrices.
Step 5: Communicate In-Context with Team Chat, Bulletins & AI
Avoid switching to external chat tools for routine project coordination:
- Team Bulletins: Post high-signal announcements, kickoff summaries, and milestone updates on the Project Home page.
- Project Group Chat (
/gc): Type/gcin the input bar or open the Messages panel to chat directly with your active project team. - Direct Messages (
/dm): Type/dm [Name](e.g./dm Sarah) to message a teammate 1:1. - Embedded AI Assistant: Chat with the embedded DoneIsGood AI Assistant for guidance on unblocking tasks, scoping steps, or resolving project scheduling bottlenecks.
5. Pro Tips & Power Workflows
- Quick Navigation with Slash Commands: Use
/projectto return to your project space,/project [Name]to jump directly to a team project,/gcfor team chat, and/go My Tasksto review your own assignments. - High-Level Orientation Over Ticket Tending: Use the Project Schedule card for quick status check-ins with stakeholders. Clicking a milestone interval lets you review active tasks for that window in seconds, saving you from digging through multiple boards during team standups.
- Cross-Corporate Workgroups: For organizations managing multiple subsidiaries or external contractors, use DoneIsGood's Corp Management features (available to Project and Enterprise tiers). This isolates sensitive internal matrices while enabling cross-entity sharing on specific client deliverables and ensures that contractors can be securely removed from projects when they roll off.
- Document-Backed Milestones: Author the project charter, technical spec, or client contract in Documents and link it directly to the Project Home or board header. New team members can onboard themselves in minutes.
- Server-Side AI Protection: External AI agents connected via MCP are automatically restricted to Read-Only mode on all shared boards, guaranteeing that team deliverables cannot be modified or deleted without human review.
6. Common Anti-Patterns to Avoid
- Relying on Invasive Activity Streams: Don't measure team output by how frequently cards move in a feed. Focus on delivered milestones and clear task completion.
- Assigning Tasks Without Deadlines or Priorities: Dropping an unassigned card into a shared matrix leads to bystander apathy. Always assign an owner and designate whether it is Q1 or Q2.
- Leaving Completed Projects Active: When a sprint or launch finishes, archive the matrix (Project and Enterprise tiers). This keeps the active dropdown clean while preserving full audit history. Pro and Free tier users can delete matrices entirely (recoverable within the Recycle Bin for 1 to 7 days). If you used the Planning Studio with Sprint Mode you can roll over a sprint automatically—uncompleted tasks go back into the backlog.
