KEY TAKEAWAY
Prioritizing tasks in a matrix is only half the battle; if your high-priority items are not protected on your calendar, other appointments will quickly fill your day. DoneIsGood's 2-way sync connects your task collections directly with Google Calendar, Google Tasks, Microsoft Outlook Calendar, and Microsoft To Do.

1. Why Connect Your Calendar and Task Lists?

A task without a dedicated block of time on your calendar is easy to overlook. When your task manager runs separately from your everyday calendar and phone widgets:

  • You overcommit: You schedule 8 major tasks for the day, forgetting that your calendar is already packed with meetings.
  • Adding tasks on the move feels slow: When walking or travelling, you want to jot down a task quickly using your phone's lock-screen widget or voice assistant, but it never reaches your main task board.
  • Sync conflicts cause stress: Traditional sync tools often create duplicate entries, overwrite notes, or lose your subtask steps.

DoneIsGood solves this by connecting directly with Google Workspace and Microsoft 365 APIs through a reliable, 2-way sync engine.

2. How the 2-Way Sync Works

Built-in Safety and Organisation Rules

  • Dedicated Lists for Each Collection:

    • Google Tasks: Each enabled collection creates its own list named [D] <Collection Name> (for example, [D] Work Projects).
    • Microsoft To Do: Each collection creates its own list named [D] <Collection Name> (for example, [D] Personal Goals).
  • Methodology Priority Tags & Categories:

    • Glanceable Title Tags: Task titles include clear, mobile-friendly prefixes that match your collection's layout across both Google Tasks and Microsoft To Do:
      • Eisenhower Matrix: [Q1], [Q2], [Q3], [Q4]
      • Kanban Boards: [Backlog], [ToDo], [InProgress], [Review], [Done]
      • MoSCoW Boards: [M], [S], [C], [W] (and [Must], [Should], [Could], [Won't])
    • Microsoft To Do Tags: In addition to title prefixes, Microsoft To Do tasks are tagged with native categories (e.g. Q1: Do First, Must Have, In Progress).
    • When you drag a task between quadrants or Kanban columns in DoneIsGood, both the title prefix and tags update automatically without duplicates.
  • Subtask Checklist Steps: Your step-by-step checklists are kept intact. In Microsoft To Do and Google Tasks, steps appear neatly in the task notes:

    Steps:
      [x] Review project brief
      [ ] Draft initial proposal
[ ] Send to client for feedback

Checking off a step in Microsoft To Do or Google Tasks updates that step in DoneIsGood. When all steps are ticked off, the parent task completes automatically.

  • Single-Provider Task Sync: To prevent duplicate entries and circular sync loops, task synchronization works with one provider at a time (either Google Tasks or Microsoft To Do). If you turn on Microsoft To Do, Google Tasks sync turns off automatically, and vice versa.

  • Independent Calendar Sync: Calendar sync operates independently of task sync. You can connect Google Calendar, Microsoft Outlook Calendar, or both at the same time to see all your appointments in one place.

  • Shared Collection Protection: On shared team collections, only tasks assigned directly to you sync to your external task list. This keeps your personal task list free from team clutter and prevents accidental edits to your colleagues' items.

3. Step-by-Step Setup Guide

Step 1: Connect Your Google or Microsoft Account

  1. In DoneIsGood, click the Profile & Account button (the gear icon at the bottom of the left sidebar on desktop, or Menu → Profile on mobile).
  2. Switch to the Sync tab.
  3. Choose your provider:
    • Google: Click Connect with Google. A Google sign-in window will ask you to approve permissions for Google Calendar and Google Tasks.
    • Microsoft: Click Connect with Microsoft. Sign in with your personal Microsoft account (@outlook.com, @hotmail.com, @live.com, or personal Microsoft 365).
  4. Once connected, your account email will show an Active status indicator.
NOTE

Microsoft sync currently supports personal Microsoft accounts. Work and school accounts managed by organizational Azure Active Directory domains are not supported yet.

Step 2: Choose Your Sync Settings

  1. Calendar Sync:
    • Turn on Sync to Google Calendar and/or Sync to Microsoft Outlook Calendar.
    • When scheduled tasks have a date and time, DoneIsGood will place a protected focus block onto your connected calendar.
  2. Task List Sync:
    • Turn on Google Tasks or Microsoft To Do.
    • Remember that only one task list provider can be active at a time to prevent duplicate tasks.
  3. Collection Permissions:
    • In the collections list, choose which collections should sync (Read & Write, Read Only, or Private/Hidden).
    • For every enabled collection, DoneIsGood automatically creates the corresponding list in your task app ([M] ... in Google Tasks or [D] ... in Microsoft To Do).

Step 3: Use 2-Way Sync Every Day

  • Schedule Tasks from DoneIsGood: When scheduling a task or moving it in the Time Planner, your changes sync immediately to your connected calendar and task list.
  • Turn Calendar Meetings into Actionable Tasks:
    • Open the Scheduled Tasks view or open the Time Planner under Tools.
    • Your meetings from Google Calendar and Microsoft Outlook Calendar appear directly on your calendar grid and daily schedule.
    • Click any calendar event to open the Add as Scheduled Task window.
    • DoneIsGood pre-fills the task title, description, start time, and duration. Pick your collection and quadrant (defaults to Q2: Important & Not Urgent), add any checklist steps, and click Create Scheduled Task.
    • The meeting is now an active task on your board with focus timers, checklist steps, and time logging.
  • Update Tasks on Your Phone:
    • Tick off a task or step on your phone's Google Tasks or Microsoft To Do widget while out and about.
    • When you open DoneIsGood, the task and its steps will already be marked complete.
  • Add Tasks on the Go:
    • Add a new item inside any [M] ... or [D] ... list on your phone.
    • DoneIsGood imports it into the matching collection. You can even include a tag like [Q1], [InProgress], or [M] in the title to send it straight to the right quadrant or column.

Step 4: Live Calendar Feed Subscription (iCal / Webcal)

Need to see your scheduled tasks in Apple Calendar (iCloud), a work or school Microsoft Outlook calendar, Samsung Calendar, or Thunderbird without connecting an OAuth account?

  1. Open Profile & Account → Sync and scroll to Calendar Feed Subscription (iCal / Webcal).
  2. Click Enable Calendar Feed to generate your private subscription link.
  3. Click Subscribe in Calendar App (which opens webcal:// directly in Apple Calendar or Outlook) or Copy Feed URL to paste into Google Calendar (Other calendars → From URL).
  4. Whenever you schedule or move a task in DoneIsGood, your calendar feed updates automatically (with a 15-minute refresh hint and event sequence tracking). If you ever want to revoke access, click Rotate Link or Disable at any time.

4. Helpful Tips & Everyday Habits

  • Voice Capture: Use Google Assistant, Siri, or Microsoft Copilot on your phone to add tasks to your dedicated lists while hands-free.
  • Color-Coded Calendars: Create a distinct color for your DoneIsGood work blocks in your calendar app so you can spot deep work time compared to client meetings at a glance.
  • Offline Support: You can continue checking off steps, updating tasks, and moving cards even without an internet connection. Once your device reconnects, all changes sync to Google and Microsoft automatically.
  • Instant Time Planner Updates: When you drag a task to a different day or hour in the Time Planner, the updated due date and start time push to your task list immediately.

5. Things to Keep in Mind

  • Task Provider Choice: Google Tasks and Microsoft To Do cannot sync at the same time. Choose the service you use most on your phone or computer.
  • Deleting Calendar Events: If you delete a scheduled calendar event in Outlook or Google Calendar, remember to mark the task completed or cancelled inside DoneIsGood so your progress records remain accurate.
  • Shared Team Boards: To protect team projects from accidental changes, only tasks assigned to you sync to your external account. Teammates will not see their lists mixed with yours.
